This page describes the terms and privacy practices governing the Grassroots Outdoor Alliance Staff and Board Notification Program, an internal text message program used to alert our staff and members of our Board of Directors to time-sensitive organizational matters.

This is not a public or promotional program. Messages are sent only to individuals who are employed by Grassroots Outdoor Alliance or who serve on its Board of Directors, and who have provided prior written consent to receive them.

Program Description

The Grassroots Outdoor Alliance Staff and Board Notification Program sends brief SMS alerts to staff and Board members when an organizational matter requires prompt attention. Each message contains a short summary and a link to the full discussion in our internal Slack workspace. The program is used for internal operational and governance communication only. It is never used for marketing, advertising, fundraising solicitation, or promotional content.

Who Receives Messages

Only current Grassroots Outdoor Alliance employees and current members of our Board of Directors receive messages through this program. Participation is not available to the public, customers, members of the trade association, or any other party.

How Consent Is Obtained

How Consent Is Obtained

Participants opt in through a web form at https://www.grassrootsoutdoors.com/sms. The form serves no other purpose. It does not create an account, grant access to any service or benefit, or complete any transaction. Participants enter their name, email address, and mobile number, and must affirmatively check a consent box that is unchecked by default. Each consent is recorded with a timestamp and retained.

Consent to receive text messages is entirely voluntary. It is not a condition of employment, of Board service, or of any other relationship with Grassroots Outdoor Alliance, and declining to participate carries no consequence of any kind. No messages are sent to any number that has not completed this form.

Employees are not required to read or respond to messages from this program outside of their working hours.

Message Frequency

Message frequency varies. Messages are sent only when a matter requires prompt attention, and we anticipate a small number of messages per month. There is no recurring or scheduled send.

Cost

Message and data rates may apply. Grassroots Outdoor Alliance does not charge for participation in this program, but your mobile carrier's standard messaging and data rates apply to messages you receive.

How to Opt Out

You may cancel at any time by replying STOP to any message from this program. You will receive a single confirmation message, after which no further messages will be sent. Replies of END, CANCEL, UNSUBSCRIBE, or QUIT are also honored. You may alternatively contact us directly using the information below and we will remove you from the program.

Opting out of text messages has no effect on your employment or Board membership, and you will continue to receive organizational communications by email and other means. Participation in this program is never a factor in performance evaluation or any employment decision.

Carrier Liability

Mobile carriers are not liable for delayed or undelivered messages. Delivery of messages is subject to effective transmission by your wireless service provider and is not guaranteed by Grassroots Outdoor Alliance.

Supported Carriers

This program is supported by major United States wireless carriers. Carrier participation may change without notice.

Changes to These Terms

We may update these terms from time to time. Material changes will be communicated directly to program participants, and the effective date at the top of this page will be revised.

Part Two: Privacy Policy

How we handle information collected through the Staff and Board Notification Program.

Scope

This policy describes how Grassroots Outdoor Alliance collects, uses, protects, and shares information in connection with the Staff and Board Notification Program described above.

Information We Collect

For participants in this program, we maintain only the information necessary to operate it:

  • Name

  • Email address

  • Mobile telephone number

  • Record of consent, including the date consent was given

  • A log of notifications sent, including date, time, and subject reference

This information is provided directly by participants. We do not purchase, rent, or otherwise acquire contact information for this program from any outside source.

How We Use This Information

We use this information solely to deliver internal notifications, to maintain records of consent and delivery for compliance purposes, and to respond to support requests related to the program. We do not use it for any other purpose.

Information Sharing

We do not share or sell mobile telephone numbers or SMS consent information with any third party or affiliate for marketing or promotional purposes. This information is never shared for marketing purposes under any circumstances.

Mobile numbers are disclosed only to the telecommunications service provider that transmits messages on our behalf, and only for the purpose of delivering the messages you have consented to receive. That provider is contractually restricted from using this information for its own purposes.

We may disclose information where required by law, legal process, or a valid governmental request, or where necessary to protect the rights, safety, or property of Grassroots Outdoor Alliance or others.

Data Retention

We retain participant contact information for as long as the individual is employed by or serves on the Board of Grassroots Outdoor Alliance and participates in the program. When an individual leaves the organization or opts out, their mobile number is removed from active use. Records of consent and opt-out are retained as long as necessary to demonstrate compliance with applicable regulations.

Security

Participant information is stored in access-controlled systems available only to authorized Grassroots Outdoor Alliance staff. We review access periodically and limit it to personnel who require it to operate the program.

Your Choices

Participants may request access to the information we hold about them, request corrections, or request removal from the program at any time by contacting us using the information below. Requests are honored promptly.

Children's Privacy

This program is limited to our employees and members of our Board of Directors and is not directed to, and does not knowingly collect information from, anyone under the age of eighteen.

Changes to This Policy

We may update this policy from time to time. The effective date at the top of this page reflects the most recent revision.
